You do not need to automate your whole business at once. Bring one repetitive process and learn how to assess its value, map the handoffs, and scope a first pilot that keeps people in control.

This is a working session. You will use a real process from your business to decide what to automate first, what information is needed, and where an owner or staff member should stay involved.
Map the work
Write down where a request starts, who touches it, what tools it crosses, and where it slows down.
Estimate the opportunity
Use frequency, time per task, rework, and the cost of delay to compare possible starting points.
Choose a safe first pilot
Decide which steps can be automated, which need human review, and how you would tell if it worked.
What makes a good first process?
Business process automation works best when the work repeats and the outcome can be checked. A quote request, new customer intake, invoice approval, or job handoff may be a better starting point than a large system overhaul.
In the workshop, we will compare candidates using four practical signals. You can use the same checklist with your team afterwards.
- The same request, document, or update arrives every week.
- Someone repeatedly copies information between tools or chases a handoff.
- You can measure the time, delays, or errors in the current process.
- A person can review exceptions and approve important decisions.
A practical example: quote intake
A request arrives by email with a document attached. Someone reads it, copies details into a job system, asks for missing information, prepares a draft quote, and remembers to follow up. Each handoff is a chance for delay or rework.
A first pilot could capture the request, extract the details needed for a quote, flag missing fields, and prepare a draft for a person to review. The owner still decides pricing and approves what goes to the customer. The useful measure is the time from enquiry to reviewed quote, alongside errors and missed follow-ups.
